Recell Japan LLC (“we”, “us”) complies with the laws on the protection of personal information and handles your personal information appropriately in operating our seller-support system built on the Amazon Selling Partner API (SP-API).

1. Basic policy

We comply with the Act on the Protection of Personal Information and other applicable laws, and manage and protect your personal information appropriately. Personal information obtained through the Amazon SP-API is managed to the same standard.

2. Categories of personal information we collect

2.1 Information about you (the seller)

• Name and email address
• Amazon Seller Central credentials (stored encrypted)
• System usage logs and operation history

2.2 Information obtained via the Amazon SP-API

To provide the Amazon Easy Ship function and inventory and order management, we collect the following:

Order information

• Order ID, order date and time, order status
• Product information (ASIN, SKU, product name, price, quantity)

Delivery information (for Easy Ship)

• Delivery address (name, address, telephone number)
• Delivery option and delivery status
• Information required to produce shipping labels

Inventory and product information

• Stock quantities and product detail
• Pricing and category information

3. Purposes of use

3.1 Principal purposes

• Providing an inventory management system for Amazon sellers
• Supporting automation of Easy Ship deliveries
• Providing order management and sales analysis
• User support and responding to enquiries

3.2 Purposes specific to Easy Ship

• Determining eligible delivery areas
• Proposing suitable delivery time slots
• Generating shipping labels, invoices and warranties
• Giving accurate delivery instructions to carriers
• Producing documents required by law (tax and consumer protection)

4. Management and protection of personal information

4.1 Technical measures

• Encryption: all communication is encrypted with SSL/TLS
• Access control: only authenticated users can access the system
• Data storage: securely stored on ConoHa cloud infrastructure within Japan
• Backups: encrypted automatic daily backups

4.2 Physical measures

• Servers run on a reliable cloud service (ConoHa)
• Physical security at data-centre level
• Access permitted only from a restricted set of IP addresses

4.3 Organisational measures

• System access rights are limited to the representative
• Regular training on handling personal information
• As staff are added, permissions will follow the principle of least privilege

5. Disclosure to third parties

We do not provide your personal information to third parties without your consent, except in the following cases:

5.1 Connected services

• Necessary data exchange with Amazon via the Amazon SP-API
• Connection with Amazon’s delivery systems in order to provide Easy Ship

5.2 Legal requirements

• Where disclosure is required by law
• Where necessary to protect the life, body or property of a person

6. Retention periods

• Customer information: for the period of service use, and one year afterwards
• Delivery information: up to seven years after delivery, as required by law
• Log information: one year from creation
• Backup data: for the period required by law

After these periods, data is either processed into statistics that cannot identify an individual, or securely deleted.

7. Your rights

Under the Act on the Protection of Personal Information, we guarantee the following rights:

7.1 Disclosure, correction and deletion

• Requesting disclosure of the personal information we hold
• Requesting correction or deletion of inaccurate information
• Requesting that we stop using or erase your information

8. Cookies and logs

8.1 Cookies

We use cookies to analyse how the system is used and to improve the user experience. You may disable cookies in your browser, although some functions may then be limited.

8.2 Access logs

We record access logs in order to maintain server security. These logs are not used to identify individuals.

9. Security

9.1 Data protection measures

• Regular system updates and patching
• Monitoring and detection of unauthorised access
• Encrypted data storage
• Regular backups and restore testing

9.2 Incident response

In the unlikely event of a security incident such as a leak of personal information, we will:

• Promptly identify the scope of impact and take remedial action
• Report to the relevant authorities as required by law
• Notify customers who may be affected

11. International data transfers

Your personal information is processed and stored only on servers within Japan. Where data is exchanged via the Amazon SP-API, however, processing may take place under Amazon’s own terms.

12. Personal information of minors

Personal information relating to people under 18 is handled only with the consent of a guardian. Where delivery information obtained through Easy Ship relates to a minor, it is protected in the same way.

13. Changes to this policy

This policy may be updated to reflect changes in the law or in our services. Significant changes will be announced on our website or notified by email.

14. Matters specific to the Amazon SP-API

14.1 Accuracy of data

Information obtained through the Amazon SP-API is based on Amazon’s own data. Its accuracy is Amazon’s responsibility.

14.2 If the service is unavailable

If the Amazon SP-API is unavailable we will work to keep the impact on you to a minimum. If an outage is prolonged we will advise on alternative arrangements.

14.3 API usage limits

Some functions may be restricted as a result of Amazon SP-API usage limits.
